KYOCapture and SentryFile Integration
Using Kyocera's innovative KYOcapture or KYOcapture Express solutions, which now includes integration with SentryFile, organizations can optimize their workflow more efficiently and combine paper and electronic documents into an online filing and document management system. This integration will provide improved document management capabilities for companies that are inundated with paper documents, or want to improve archiving and retrieval processes by transforming hard copy documents into searchable and indexed electronic files, improving document distribution and sharing within the enterprise.
KYOcapture is a document capture workflow solution that enables select Kyocera MFPs to seamlessly capture, process and route paper or electronic-based documents. Once the hardcopy document is captured at the Kyocera device, it is processed (e.g. OCR, Barcode recognition) and is then routed to the SentryFile document management system using the SentryFile connector. The SentryFile system has a robust set of tools that today's digital office demands, all in a single, web-based package. Business can quickly create a complete digital library of their most important business documents, for simple archival, search and retrieval.
SCAN FROM A KYOCERA MFP DIRECTLY INTO SENTRY FILE WITH KYOCAPTURE AND THE SENTRYFILE CONNECTOR
This is a concise KYO Capture process example.Â Documents scanned on the MFP are OCRâ€™d and sent directly into the SentryFile document management system.
This is a simulated MFP panel.Â Once the KYOcapture process is designed, KYOcapture is set up as an application on the MFP panel.Â The user selects KYOcapture.
A menu selection of the different types of forms to scan, or other processes is listed. The user selects the correct menu option, in this example â€œWorkordersâ€�.
If there are any fields that require entry from the user at the panel, they will display and request data, the user simply enters the data â€“ in this case the â€œSERIAL NOâ€�.
This particular form also requires the user to enter the â€œCUSTOMER NUMBERâ€� at the panel.
The user then places the document (s) in the feeder and selects Start to scan. The document is scanned, Optical Character Recognitian (OCR) performed for full text search capablilty, and sent into SentryFile. The data entered at the panel is sent to the corresponding fields setup in the Sentry File cabinet.
Now the document is available for fast retrieval for anyone in the company who has rights to access the documents in this cabinet.
